Smart Lists Guide

Recording Purchases

Recording a purchase connects an item in a Budget List with the amount you actually spent. This is what updates Used, Remaining and any enabled payer or balance features.

Recording a purchase

  1. Open the “Budget” List and find the item you bought or paid.
  2. Tap the item itself.
  3. Enter the amount paid.
  4. If the list uses “Track Who Paid”, select the member who paid.
  5. Confirm the purchase.

Entering the purchase amount

  1. Enter the amount actually paid for the item.
  2. Smart Lists uses this amount when calculating “Used” and “Remaining”.
  3. Enter only the purchase value. Do not include currency symbols in the amount field unless the app provides them automatically.

Completing a purchased item

  1. When the purchase is recorded, the item moves into its purchased or completed state.
  2. The purchase amount remains attached to that item so the spending can still be included in the monthly totals.
  3. You can still edit or undo the purchase if you made a mistake.

Editing a recorded purchase

  1. Open the purchased item.
  2. Choose the edit purchase action.
  3. Change the amount or other available purchase details.
  4. Save the change.
  5. “Used”, “Remaining” and any enabled payer or balance calculations update to reflect the edited purchase.

Undoing a purchase

  1. Open the purchased item.
  2. Choose “Undo purchase”.
  3. Confirm the action if Smart Lists asks you to.
  4. The purchase is reversed and the item returns to the state it had before the purchase was recorded.
Good to know

Undo is useful when the item itself should remain in the list but the recorded purchase was a mistake.

Deleting a purchase or item

  1. If you only want to reverse the purchase, use “Undo purchase” rather than deleting the item.
  2. If you want the item itself removed, use the item delete action.
  3. Deleting and undoing are different actions, so use the one that matches what you want to correct.

What happens when your budget is exceeded

If “Used” becomes greater than the monthly budget, the list is over budget.

Smart Lists continues to record purchases even when the budget has been exceeded.

The budget information makes the over budget position visible so you can see that spending has gone past the planned amount.
